Before your event
Our hiring agreement sets out the standard terms and safety requirements. You don't need to fill it in: when your booking is confirmed we send you a completed copy.
Ask for the hiring agreementPlease complete any forms when you book, so we have time to check everything. Requests made later may not be approved.
Serving or selling drinks
Alcohol is allowed at events under our community premises licence, with our agreement. Selling alcohol needs our written approval in advance. A Temporary Event Notice is usually not needed. There is a bar in the committee room, and you can ask us to run it (subject to availability) or use your own staff. Tickets that include a drink and raffles with alcohol prizes are usually fine if agreed in advance.
Alcohol at your event formServing or selling food
If you prepare or serve food to the public, at least one person should hold a Level 2 Food Hygiene Certificate (not needed for private parties where food is not sold). Traders may need to register with the council. Display allergen information when food is sold or given away (Natasha's Law). The kitchen has place settings for 80 and a fridge. Please take food waste away.
Food at your event formPlaying or performing music
Music is welcome in the Village Hall and, by agreement, on the recreation ground. The Village Hall's PRS and PPL licence covers background and most live music at private and community events; commercial classes may need their own. Plays and musicals need a licence from the rights holder. Music must finish by 11pm, with doors and windows closed during loud performances. No sound system or instruments are provided.
Music at your event formChildren or adults at risk
If your event involves children or adults at risk, you need safeguarding procedures, a named person responsible and, where required, DBS checks. The hirer is responsible for safeguarding during the event. In an emergency call 999, then tell the trustees. Safeguarding contacts are displayed in the foyer.
Safeguarding confirmation formAssessing risks
Most events need a simple written risk assessment: public events, children or vulnerable adults, bouncy castles and other equipment, sport, use of the recreation ground or games court, food, alcohol or large numbers. A small private party may not. Outside providers must bring their own risk assessment and insurance.
Risk assessment templateUsing electrical equipment
You can bring your own equipment if it is safe and in good order; we recommend PAT testing. Don't overload sockets and secure cables. Outdoor electrics and generators need our approval. If something trips the power, tell a trustee straight away.
Electrical equipment formInsuring your event
We hold public liability insurance for the Village Hall and recreation ground. You need your own insurance for public events, selling goods or food, external providers or equipment. Bouncy castles, performers, caterers and traders must have their own cover.
Insurance confirmation form100% of hire goes back into the Village Hall and Park.
The Village Hall is owned and run by a village charity. Every booking, from a birthday party to a wedding, pays for running and looking after the Village Hall and the Park next door, so they stay open, safe and affordable for everyone.
